Recurring X Games Event Coordinator
This position provides coordinator level support for the X Games office in Austin, TX. This position coordinates the administrative activities in the Austin office. Duties include, but are not limited to, reception, receiving, shipping, and reporting. Additional oversite of office layout, supplies
, equipment maintenance, recycling, cleaning, space improvements, safety, administrative procedures, and communication are required. In addition, this position serves as the onsite lead for staff
and office build-out until the full staff arrives. Onsite event duties include, but are not limited to office build-out, technology installs, office setups including tables, chairs, supplies, pre-event catering, transportation, or accommodation needs, radio or credential load-in. This position reports to the Director, Business Operations with a dotted line to the Sr. Director, Event Operations.

Maintain a clean, organized, and presentable environment that is conducive to a positive and efficient working environment.
Serve as the initial office contact for other ESPN departments and external vendors.
Serve as the primary receptionist for the office - answer and/or route all incoming phone calls, coordinate shipping, receiving needs, handle parking validations, and receive visitors.
Maintain and service all office copiers, printers, appliances, and technology as well as order and track all necessary supplies for the office.
Maintain the X Games Conference Room for meetings and conference calls.
Assist in compiling monthly office newsletters, corporate email reminders, and general operating procedures as needed.
Maintain accountability for office guidelines and procedures; report repeat offenders to the appropriate
Coordinate shipping/receiving needs of the office staff.
Liaison with warehouse staff to ensure cohesive operation and efficient utilization of resources.
Arrange and schedule office space for visiting staff and facilitate meetings as needed.
Assist in the onboarding process for all new workers as needed.
During event windows, facilitate package, mail, and message distribution. Coordinate office build-out at event venues, collaborate with business operations and event operations on all staff service needs including but not limited to pre-event catering, parking, office locations, technology install, radios and/or credential space.
May be required to assist with event payroll, insurance certification, or injury claims reporting and tracking.
Basic Qualifications
1-3 years event experience
Proficient in all Microsoft Office Programs
Candidates must be team-focused with the ability to get things done timely and efficiently.
Candidates must be organized, personable, resourceful, efficient, dependable, and proactive.
Candidates should be able to multitask and stay calm in a fast paced environment.
Preferred Qualifications
3+ years event experience
Bachelor's degree in sport management or related field
Previous experience leading specific event functions

Bachelor's degree recommended
Required Education
Minimum 2 years college or equivalent

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
