Executive Assistant I

The Executive Assistant I reports to the Vice President, Global Security, Safety, & Sustainability and charged with maintaining the highest standards of confidentiality and tact. This individual will interact with a wide variety of internal and external contacts on behalf of the executive. He or she will also coordinate and may participate in meetings with these contacts. He or she is largely responsible for coordinating the administration, logistics, and flow of the work for the Vice President of this business area.

Responsibilities
Assists the Vice President in providing a range of administrative support functions focused on needs of a business unit carrying out (domestic and international) responsibilities in the areas of security, safety, and sustainability for ESPN Inc. Conducts a range of assignments including but not limited to: coordinating and maintaining appointment calendars; gathering and abstracting materials for events such as meetings, conferences and presentations; administering travel arrangements and related expense reports; answering and screening incoming calls for Vice President and senior leadership team Compiles and edits Global Security Safety & Sustainability monthly, quarterly, and annual reports Serves as Global Safety & Sustainability intranet editor Maintains organizational charts, databases and contact lists Serves as Casual Buyer and responsible for the ordering of office supplies, business card, swag, etc. Works in coordination with the other departmental administrative assistants to support senior leadership as necessary Reviews & categorizes incoming correspondence, memoranda, emails and prepares routine correspondence, memoranda and e-mail responses Regularly attends staff meeting, taking meeting notes and arranges receptions, lunches, and dinners Interacts with the a wide variety of ESPN, Disney and external contacts in behalf of the executive(s) served; interacts with media, clients, affiliates, public figures in behalf of assigned executive(s) Screens and responds to employee requests and may arrange visits for those affiliated with the company as requested by the Vice President
Requirements


Has advanced knowledge of Microsoft Office applications and databases used by the executive
Typically, incumbent has 3- to 5-years of providing executive level administrative support ?and- at least 6 years of increasingly responsible work experience in generally comparable, high level administrative functions
Has advanced skills in communication and diplomacy; has good sensitivity to the purposes and motivations of the persons desiring contact with the assigned executive(s); is sensitive to and able to work effectively with a diverse group and individuals
Has an advanced ability to organize work and to set priorities; has basic multi-tasking skills
Has and applies basic experience in the conduct of one or several administrative processes and procedures carried out in the organization directed by the assigned executive(s)
Has a fundamental knowledge of the administrative processes carried out by the assigned executive(s) and those of the organization directed by the assigned executive(s)
Has solid knowledge of several administrative functions and processes
Has basic research and data analysis skills capabilities
Additional Qualifications

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
